Operations: Using Technology to Scale your Firm

Independent financial advisor offices have huge opportunities to improve and streamline their operations using technology.

I know firsthand the challenges that come with finding the right systems to meet an organization's needs and getting teams to adopt new processes. But I have also seen the opportunities that come when teams can collaborate and work more efficiently.

At Resources, we share ideas, TOOLS and talent with advisers so that they can innovate, collaborate and grow.

Here are five of the tools we believe add value for independent offices.

1. Client Relationship Manager

What is it? It is a system that helps keep your clients in the center of your organization. It helps you track your interactions with, and information about, potential and current clients. It can also be used to help track service requests and transactions and make sure that all of your strategies, process and interactions are effectively working towards your goals.

How does it help? Through tracking and reporting it makes sure that your team is fostering relationships with new clients and servicing current clients appropriately. It makes sure that tasks don't fall through the cracks and that you are meeting your clients expectations and working efficiently.

2. Financial Planning Software

What is it? It is a decision making software helping advisers and clients evaluate their financial decisions based on a variety of factors. It helps forecast changes and calculate impact very easily. It also allows for dynamic account information to feed into the system allowing your recommendations to remain up-to-date as situations change.

How does it help? Not only does it help advisers present timely and accurate information to clients about their unique situations but it does so in a visually captivating way. It allows advisers to spend less time with their calculator and more time with their clients having important conversations.

3. Secure File Sharing

What is it? It is a system that allows advisers to collaborate digitally with their clients and co-workers securely without worrying about sharing confidential information over email. It allows for the uploading, downloading and sending of files using encryption and two-factor authentication.

How does it help? The speed of business is increasing, as is your clients' desire to communicate with you online. No one has time for fax machines or mail. This system allows you to meet your clients expectations while maintaining security and privacy online.

4. Presentation Sharing Software

What is it? It is a cloud based system that allows for visual content to be designed and shared with a team. Visual content such as presentations, brochures and sales flyers. Teams can restrict permissions for editing but everyone can access a library of materials that are compliance approved.

How does it help? It helps preserve branding and gives flexibility to multiple team members to access and customize sales and marketing materials.

5. Project Management Platform

What is it? A digital platform that helps teams communicate and collaborate on projects using speadsheets, forms and workflows.

How does it help? Projects can be edited and shared by multiple team members and tasks can be automated so that everyone knows the status of each. It helps with version control because all team members can work on a document at the same time.
